1. Who we are

AIME (AI Digital Mindset Assistant) is a sport psychology performance tool operated by Paul Hughes, trading as The Sport Shooting Psychologist. Paul Hughes is an HCPC-registered Chartered Sport Psychologist.

For the purposes of UK GDPR, Paul Hughes is the Data Controller for personal data processed through AIME.

This policy explains what personal data we collect when you use AIME, why we collect it, how we use it, and your rights in relation to it.

3. What data we collect

3.1 Data you provide directly

  • Your name

  • Your shooting discipline

  • Your country of residence

  • Your email address (used to verify membership)

  • The content of your conversations with AIME

3.2 Data generated automatically

  • A unique user identifier stored in your browser

  • Timestamps of your sessions

  • Number of sessions completed

3.3 Data we do not collect

  • Payment information

  • Precise location data

  • Device identifiers or IP addresses

  • Biometric data

4. Why we collect this data and our lawful basis

Our lawful bases under UK GDPR are:

  • Legitimate interests: to provide a personalised sport psychology coaching experience with continuity across sessions.

  • Contractual necessity: to verify your active membership before granting access.

  • Legal obligation: we may retain certain records where required by law.

5. Special category data

Some conversations may involve information about your mental health or emotional wellbeing. This is special category data under UK GDPR.

By using AIME and choosing to share this information, you explicitly consent to its processing for the purpose of receiving sport psychology performance support.

Important: AIME is a sport psychology performance tool, not a mental health service.

6. How we store your data

Your data is stored in a Supabase database on secure cloud infrastructure with encryption at rest and in transit.

Conversation history is retained for the duration of your membership and deleted within 30 days of your membership ending, upon your request, or within 30 days of AIME ceasing to operate.

7. Third parties who process your data

Anthropic (Claude API)

  • Purpose: generating AIME responses

  • Data shared: your messages and conversation context

  • Location: United States

  • Note: Anthropic does not use API conversation data to train its models by default

Supabase

  • Purpose: storing your profile and conversation history

  • Location: EU (Frankfurt)

  • GDPR compliant, DPA available

Voyage AI

  • Purpose: generating embeddings to match messages with coaching content

  • Data shared: message text only, no personal identifiers

  • Location: United States

Railway

  • Purpose: hosting the AIME application server

  • Location: United States

  • SOC 2 compliant

8. International data transfers

Some processors are based in the United States. We ensure appropriate safeguards including Standard Contractual Clauses where applicable.

9. Your rights

Under UK GDPR you have the right to: access your data, correct inaccurate data, request erasure, restrict processing, data portability, and to object to processing.

You may also complain to the ICO at ico.org.uk.

10. Cookies and local storage

AIME uses browser localStorage to store a unique user identifier. This is essential for the service and is not used for tracking or advertising.

11. Changes to this policy

We may update this policy and will notify active members of material changes.
